Complete customer record removal

After a customer is archived, authorized staff can permanently remove the record and related vehicles, events, files, and agreements—with an explicit confirmation step.

Archive hides a customer from daily work; permanent removal is for when the record truly should not exist anymore.

Why we built it

Facilities sometimes need more than Archive Customer—duplicate test data, a mistaken import, or a legal request to erase someone from the system. Complete customer record removal adds a controlled Permanently Delete path after a customer is already archived, with a confirmation that spells out what goes away: linked cars, events, files, contracts, portal users, and related history. That two-step flow (archive first, purge second) reduces accidental wipes while still letting managers finish removal when policy requires it.

Who it is for

  • Team admins cleaning up duplicate or test customers after cars and billing were moved elsewhere.
  • Owners handling privacy or offboarding requests where archive is not sufficient.
  • Staff who already use Handle duplicate or merged customer records and need the final erase step documented.

What you can do

  • Archive a customer from Danger Zone on their detail page when they should leave active lists but history might still matter.
  • Open All Contacts, filter Status to Archived, and find the record to remove.
  • On an archived profile, choose Restore Customer if you changed your mind, or Permanently Delete when removal must be final.
  • Read the confirmation dialog—it lists categories of data that will be erased before you confirm.

How it fits your day

Permanent delete cannot run on an active customer—you must archive first. That pause gives you time to reassign vehicles, close open invoices, and export anything finance needs. If the person was a duplicate, prefer Migrate to contact when history should stay on the primary account instead of purging both rows.

Review Edit customer details for Danger Zone actions, then walk through archive → archived list → Permanently Delete on a record your policy allows you to erase. When in doubt, archive only and consult your owner before the final step.
